The short answer
Onboard the new vendor before the old contract ends, walk and document every building together, hand over access and anchor records, and schedule the first visits before the outgoing vendor's last one.
Seven steps
- Check exit terms: notice period, end date and any obligations.
- Onboard first: insurance, safety documents and procurement platform. See vendor onboarding.
- Walk every building with the new vendor and document existing conditions. See how to document existing facade damage.
- Hand over the building file: roof access, anchor certification records, keys, contacts and tenant rules.
- Schedule first visits before the last outgoing visit, starting with entrances and the most visible glass.
- Tell tenants who the new vendor is and when work starts.
- Review after the first cycle and adjust scope and cadence.
The building file
| Item | Why |
|---|---|
| Roof access instructions | Crews can start without delay |
| Anchor inspection and certification records | Required before rope descent work |
| Scope and cadence per building | The new vendor prices and schedules the same job |
| Contacts and tenant rules | Notice and access run smoothly |
| Known issues | Nothing is rediscovered the hard way |
Timing
Avoid switching right before peak season for high-rise work, when dates are hardest to get. If you must, lock the new vendor's summer dates first. See weather, seasonality and scheduling risk.
